Setting Preferred Bins

Process Overview: Before items are received into our facilities, a preferred bin needs to be set up for each item if one does not already exist.  The below process should be used to both identify open bins and to set preferred bins for items that do not already have one set up in NetSuite. 

The NetSuite Alert below will be sent whenever there is an incoming item(s) without a preferred bin set up in NetSuite.  Identify the specific item(s) coming into your location and start the process of setting a preferred bin for that item(s). 

  • *Note– There may be some preferred bin setup requests that come via tasks as well.

Step 1: Identify which bins are empty and can be used as a new preferred bin.  Open the Bin Manager suitelet.  (Path: Shipping & Receiving > Bin Management > Bin Manager)

Step 2: Add the applicable filters and then click the Apply Filters button. The filters outlined in red below should always be filled in.

  • Location– Add the location where the item will be stored.
  • Bin Type– Choose the bin type. 
  • Building– Add the building that the inventory will be stored in.
  • Level– Add the bin level.
  • Is Empty– Yes.
  • Is Physically Empty– Yes.
  • Is Preferred Bin– No. 

Step 3: Once the Bin Manager suitelet refreshes, the list of empty bins will populate. Choose the bin that will be used and make note of the Bin Number.

Step 4: Open the Item Bin Change screen.  (Path: Shipping & Receiving > Bin Management > New Item Bin Change)

Step 5: Fill out the data in the Overview section and click the Save button once finished. The fields outlined in red must be updated.

  • Location– Location where the inventory is being stored.
  • Item– Item number for which we are adding the preferred bin.
  • New Bin Number– Add the Bin Number from Step 3.  This will be the new preferred bin for the item being worked on.
  • Change Option– Choose the records that will be updated with the new preferred bin.

Step 6: Once saved, the following Item Bin Change screen will appear.  Click the green Process Change button to proceed.  If you would like to cancel the change and start over, click the red Cancel Change button. 

Step 7: Click OK on the pop-up that appears.

  • *Note– After clicking the Process Change button, the Status will move from Ready to Process to Complete

This completes the process of setting preferred bins for items.
