Process Overview: During the Outbound Shipment Quality Control process, notes are recorded for every pallet that is checked whether it passed inspection or not. Once the shipments are deemed ‘ready to ship’, the results are recorded. The process below should be used when recording the QC check results.
Step 1: During the quality control/shipment auditing process, notate the following information for each shipment:
- Date of Audit
- Outbound Shipment (OBS) Number
- Pick Job Number
- Picker Name
- Pallet Count
- Customer
- Description of Mistake(s)
Step 2: Open the QC Audit Spreadsheet for the current week. Spreadsheets can be found using the following path: S:\Warehouse\SHIPPING\QC Outbound Audits
Step 3: Update all the fields in the Incident Report table. A description of each field has been added below.
- Date– Date the audit took place.
- Picker– Name of the picker who picked the shipment.
- Type of Incident– General type of incident.
- Description– Detailed description of the incident.
- Pick Job– Pick Job associated with the incident. If there is no pick job, the field is highlighted yellow.
- OBS #– Outbound Shipment number associated with the incident.
- Customer– Name of the customer on the shipment.
Step 4: Update all the fields in the Auditing Log table. A description of each field has been added below.
- Date– Date the audit took place.
- Pick Job– Pick Job associated with the incident. If there is no pick job, the field is highlighted yellow.
- OBS #– Outbound Shipment number associated with the incident.
- Correct? (Y/N)– Choose Yes or No depending on whether the Pick Job/OBS had an issue.
- Picker– Name of the picker who picked the shipment.
- Customer– Name of the customer on the shipment.
Step 5: Using the information from the Incident Report and Auditing Log tables, fill in the data in the Correct Orders table, the Picker Mistakes table, and the Types of Mistakes table. The information in the graphs will be automatically generated based on the information in these 3 tables.
Step 6: Once completed, save the spreadsheet. Each Monday morning, the spreadsheet for the previous week should be sent to the appropriate parties for review. This completes the process of recording QC checks.
