Panamericana 43PAN Order Process

APPLICABLE FOR:

43PAN – Panamericana Liberia y Papeleria SA

• Sales Rep emails Excel of commitment quantities with item information (case pack, cube, etc)
• Art 101 reviews and advises of any changes (if any)
• Art 101 generates a Pro Forma Invoice (PFI) to the Sales Rep
• Sales Rep advises if any changes or approved and will follow up with another email with the official order
• Art 101 enters quantities into NS (DO NOT RELEASE THE ORDER)
• Art 101 will email Carton and Item Labels and renderings/photos (with assistance from the 3PL for affixing and providing photos) of where they will be placed for Buyer’s Approval – Templates Available
  • Item Labels: Make sure they are affixed on the BACK side of the item.
    • In 2023, we went back and forth with the customer as they wanted to have us place the item labels directly on the items. We informed them that this is not possible as we have to shrinkwrap every item and it is time-consuming as well as costly. Customer approved we affix over shrinkwrap.
• Sales Rep advises if any changes or approve the labels and placements then provides Art 101 with Freight Forwarder information (in the past it’s been Miami)
• Art 101 releases the order to the warehouse and provides both Carton and Item labels and advise that they must provide the cube, dims, and weights for each line item.
  • You will have to convert from US to Metric: cubic feet (cft) to cubic meter (cbm), from pounds (lbs) to kilograms (kg), and inches (in) to centimeters (cm)
• Art 101 generates Packing List (PL) with converted numbers (see Step 8 subsection A)– Template Available
• Art 101 emails Packing List to Sales Rep for approval
• Once approved, Art 101 arranges for shipment via Transportation Insight (LTL ONLY)
  • Unless otherwise stated by the Sales Rep, go with the lowest freight cost
• Art 101 emails Carrier information to 3PL to arrange for pickup
• Once the order is picked up, Art 101 emails the BOL to Sales Rep – Template Available
• Art 101 generates Invoice Packet and emails to Sales Rep – Template Available
