WHAT IS THE REMINDER FOR?

The reminder tracks all individual PO lines from a Product Specialist’s open POs.

WHY IS IT IMPORTANT?

Expected Ship Date: Until a line is added to an Inbound Shipment record, the Expected Ship Date drives the Expected Available Date. The Expected Available Date shows up on inventory reports and on the Inventory Detail subtab. The Expected Ship Date must always be maintained before an Inbound Shipment record is created.

  • NOTE – Once a line is assigned to an Inbound Shipment record, Supply Chain Management takes over updating the Inbound Shipment record dates, which populates and overrides the initial dates entered.

Verified Dimensions: All items must have verified carton weights and dimensions before receiving the inventory.
Why is this important?

  • Size affects freight costs. Carton measurements determine ocean freight costs.
  • Our warehouse and customers need accurate carton sizes for space planning purposes. We can receive customer fines if our provided dimensions are not correct.
  • Carton density determined by weights and dimensions drives the Bill of Lading and NMFC codes that our warehouse and customers use to determine trucking transportation costs. This information is also used by Customer Service, Supply Chain, and others to get rate quotes from Fed Ex, UPS, DHL, and USPS.
  • If an item is highlighted in pink or red, one or more levels of weights and dimensions are missing.

HOW DO I CORRECT ISSUES?


The Product Coordinator ensures the P&S PO lines are up to date. They should contact you directly about ship dates or the vendor directly about dimensions. However, you can proactively send information to the Coordinator to make their job easier.

  • NOTE – If the department is ever without a designated Coordinator, it will be the Product Specialist’s job to keep their information updated.
  • Jax P&S Domestic PO Tracking Lines is the search used by the Product Coordinator.

Expected Ship Date: The line will turn yellow if the Expected Ship Date is the current date (or earlier) and there is no Inbound Shipment record. Update the Expected Ship Date and Expected Available Date.

  • NOTE – For Import shipments, the Expected Available Date is 60 days after the Expected Ship Date. For Domestic shipments, the Expected Available Date is 14 days after the Expected Ship Date.

Verified Dimensions: If there is missing information on units and dimensions, reach out to the vendor for a confirmed list of weights and dimensions for the types of packaging applicable to the flagged items.

  • NOTE – Not every item comes in a sellable unit, inner, master, and import carton, which is why the quantities are listed.

TIPS & TRICKS

Items purchased domestically will not be assigned Inbound Shipment records, so those will have to be manually reviewed since the highlighting will not work. While we do not capture domestic freight costs, the dimensions are still crucial for the other two reasons listed above.

Certain Non-inventory items, such as Tooling, should not be assigned to Inbound Shipment records. The Product Coordinator is in charge of requesting the invoices to receive in; if they are on an INBS, P&S cannot receive them in. Reach out to the appropriate SCM Coordinator to have them remove the line from the Inbound Shipment.
